Booking Request

Introduction

This Agreement is made between you, the Customer (“you”) and “Ultimate Fitness Dorset Ltd” (“UF”, “we”, “us”).  Retreat bookings are subject to these Terms & Conditions and in making a booking and paying your deposit, you accept these Terms & Conditions.

UF is committed to making your stay at The Retreat as enjoyable and relaxing as possible. We will encourage you to take advantage of the setting at Launceston Farm and enjoy the outdoor space which consists of private gardens, fields and woods with uneven ground. Whilst UF carries public liability insurance, UF can accept no liability whatsoever for any injuries or illnesses arising from your stay with us.

It is your responsibility to inform us before your arrival of any allergies or other dietary requirements. On confirmation of your booking, you will receive a form for completion. It is a booking requirement that this form is returned to us as soon as possible and well ahead of your visit. Your booking may be subject to change or cancellation if this form is not returned in good time.

You will inform UF of any medical changes that may be relevant.

If you have any concerns at any time regarding your stay with us at the Retreat, you agree to raise them with us promptly so that we can address them at the time.

Participating in active activities

If you are participating in “active” activities (land-based or water-based group training, walking, hiking, or similar; collectively “Activity”), then you also agree to the terms of this section.

You acknowledge that you have voluntarily chosen and requested to participate in the Activity and that you are aware that participation in the Activity may be hazardous. You have knowledge of the risks of injury, and you assume all responsibility and liability for all injuries you may sustain due to your participation in these Activities.

You further acknowledge that a certain minimum level of physical health, strength,  and fitness may be required, and you agree that you possess the level of health, strength and fitness necessary to participate in the Activity. You will let us know if you have any questions about this requirement.

Payments & Cancellations

UF accepts cash, MasterCard, Visa and bank transfers as payment.

The Retreat requires a non-refundable deposit to secure your booking. Your booking cannot be confirmed or guaranteed until the deposit has been received. You agree to make full payment in the time required for the event. You may like to consider some form of travel insurance to protect against any unforeseen cancellations, which may result in loss of your deposit or payment; this can be sourced very cheaply - just a few £s.

We would not expect to amend or cancel your booking, but if this does happen, we will let you know as soon as we can and refund any fees that you have paid. However, we will not be liable to refund any fees you may have paid to any third party in connection with your booking and we strongly advise that you take out travel insurance if appropriate.

 

You may cancel your retreat at any time, cancellation will take effect the day such notification is received by us.  When you cancel your retreat place, we will retain your deposit in all circumstances. Cancellation charges are set out below.

Depending on the Number of Weeks Before Departure, Cancellation Charges are:

• 8 weeks or more: Deposit only

• 4-8 weeks: 75% of retreat cost

• Less than 4 weeks: 100% of retreat cost

If you are no longer able to attend your retreat, we may be able to re-sell your place. This is only possible if you let us know at least 8 weeks before the retreat and it is dependent on if we can re-sell your place. Otherwise our normal cancellation charges apply.

Once The Retreat has commenced, no refund or part refund or unused portion of the payment will be repaid in the event of cancellation by you. If the reason for cancellation is covered under the terms of an Insurance Policy, you may be able to reclaim these charges.​

 

Please note that prices and services are subject to change at any time. We love having you as a client, but we do reserve the right to refuse service at any time, to anyone, for any reason.

Commitment to data security

Your personally identifiable information is kept secure. Only authorised employees, agents and contractors (who have agreed to keep information secure and confidential) have access to this information. UF will never sell trade, rent, exchange or otherwise share your personal information with any other person, company or organisation.
